What Does It Cost to Print an ID Card?
Cost per card, worked through properly: ribbon yield, card stock, and the monochrome lever most organizations never pull.
If you are budgeting a card program, or comparing two printers, or deciding whether to print in house at all, this is the number you need. It is not complicated to work out, and almost nobody does it before buying. Our ribbon compatibility and yield guide has the yield figures this calculation depends on.
The formula
Cost per card is three things added together.
The ribbon share. Ribbon price divided by ribbon yield. A 300-print ribbon at $120 is 40 cents a card.
The card. Whatever a single blank card costs you, which varies enormously depending on what is in it.
The cleaning share. Cleaning kit price divided by how many cards it covers. Small, but it belongs in the number, and leaving it out is how people end up skipping cleaning to save money.
Add those and you have the consumable cost of one finished card. That is the figure to compare across machines and the figure to multiply out when budgeting a year.
Ribbon yield is a hard count, not an estimate
This is the part people misunderstand. A ribbon is not a tank of ink that lasts longer if you print lightly. A 300-print YMCKO ribbon carries 300 physical sets of color panels. Print a card and one set is consumed, whether the card was a full-bleed photograph or a name in the corner.
Two consequences follow.
A failed print costs a full print. If a card jams halfway through, that set of panels is gone. Budget a margin over your card count rather than matching it exactly; ten percent is a sensible working figure.
And printing less on the card saves you nothing on ribbon. If you want to reduce cost per card, the lever is the ribbon type, not the design.
The monochrome lever, which is the big one
Here is where real money is available, and most organizations never look at it.
A full-color YMCKO ribbon prints five panels per card and yields a few hundred prints. A monochrome resin ribbon prints one panel and yields thousands from the same physical roll. The difference in cost per card is not a few percent, it is a multiple.
So the question worth asking is whether every card in your program actually needs color. A staff badge with a photograph does. A visitor pass with a name, a date and a barcode does not. A contractor card, a temporary badge, a locker card, a library card: many of these are perfectly good in monochrome.
Running two ribbon types means a small amount of swapping, and for organizations printing a meaningful number of non-photo cards it is often the single largest saving available. Have a look at what proportion of your volume genuinely needs color before assuming it all does.
Dual-sided printing, done cheaply and done expensively
The second side of a card can cost nothing or it can double your cost per card, depending entirely on which ribbon you use.
If the back is resin black content, text, a barcode, terms of use, then a YMCKOK ribbon prints both sides from a single set of panels. Your cost per card is unchanged from single-sided printing on an equivalent ribbon. The second side is effectively free.
If you print the back in full color from a YMCKO ribbon, the printer consumes two sets of panels per card. A 300-print ribbon becomes 150 dual-sided cards and your cost per card doubles.
Design accordingly. Color on the front, resin black on the back, and you get a two-sided card at a one-sided price.
The card itself varies more than the ribbon
Blank stock is where cost differences get dramatic, and it is driven entirely by what is inside the card.
Plain 30 mil PVC is the baseline and the cheapest thing you will print on. Adding a magnetic stripe raises it modestly. A contactless proximity or smart credential raises it substantially, because you are buying an antenna and a chip rather than a piece of plastic. Programmed access credentials cost more again, because somebody has encoded each one to your facility code and card range.
The practical implication is that on a program using programmed access cards, the card dominates the cost per card and the ribbon is almost a rounding error. On a plain photo badge program, the ribbon is the main variable. Which lever to pull depends on which program you are running. Our card and credential range covers the stock we keep.
A worked example
A company badges 1,200 people a year, full color on the front, black text and a barcode on the back, on plain 30 mil PVC.
They use a YMCKOK ribbon so both sides come from one set of panels. Say the ribbon yields 500 prints. That is 1,200 divided by 500, so three ribbons a year with a little spare. Add 1,200 cards. Add three cleaning kits, one per ribbon change, which is what the manufacturer asks for.
Now the same company decides the back should be full color too, and switches to a YMCKO ribbon printing both sides. Yield per card halves, so they now need roughly six ribbons instead of three. The card and cleaning costs are unchanged, but ribbon spend has doubled for a design change most cardholders will not notice.
That is the kind of decision worth making deliberately rather than by default.
Using this to compare printers
When you have two machines on a shortlist, run cost per card for both and multiply by your five-year volume. Then add the purchase price.
The comparison frequently reverses. A cheaper printer taking a low-yield or proprietary ribbon can easily cost more across five years than a more expensive machine taking a high-yield one. An organization printing 3,000 cards a year prints 15,000 across five years, and a ten cent difference per card is $1,500, which is more than the gap between most machines in the same class.
The reverse holds at low volume. If you print 200 cards a year, consumables barely matter and you should buy the cheapest machine that meets the requirement properly.

What this tells you about outsourcing
Once you know your true cost per card, comparing against having cards printed and shipped becomes straightforward rather than a guess.
Include the things that are easy to leave out of the in-house side: the printer amortised over its life, the software, the staff time to run it, and the cost of downtime when it stops. For a low-volume program those often add up to more than the outsourced price.
For a high-volume or continuous program, in house almost always wins on cost, and it also wins on the things cost does not capture, like handing somebody a replacement card while they wait.
