Privacy policy
What we collect, what we use it for, and the things we do not do with it.
Card Imaging is a family business in Woodridge, Illinois. We sell ID card printers, cards, credentials and supplies, and we repair the machines we sell. This page explains what we collect when you use cardimaging.com, what we do with it, and what we do not do with it.
We have tried to write this in plain English rather than the usual wall of legal text. If anything here is unclear, ask us and we will answer directly.
The short version
We collect the information you give us when you ask us for something, plus basic anonymous statistics about how the site is used. We use it to answer you and to run the business.
We do not sell your information. We do not rent it, trade it, or hand it to data brokers or advertisers. We do not add you to a marketing list because you asked us a question, and we do not chase people who told us they were not interested. If you contact us about a printer, you will hear back about that printer.
What we collect
Information you send us. Our quote, repair request and card programming forms ask for your name, company, email address, phone number, and a description of what you need. Only what is needed to reply is required. If you would rather just call, the number is at the bottom of every page and there is no form involved.
Your email address for software downloads. The software download page asks for an email address before it releases the file, so we know who has a copy and can tell you about a relevant update or a compatibility problem. It does not sign you up to a newsletter.
Order and service details. If you buy from us or send a printer in for repair, we keep the records that go with that: what you bought or sent, when, the serial number, what we did, and how to reach you about it.
Anonymous site statistics. We use Google Analytics to see which pages people read and which ones are not working. That tells us things like how many people visited a printer page last month. It is not tied to a name, and we do not try to identify individual visitors from it.
Ordinary server records. Like every website, our host keeps logs that include IP addresses and browser types, and our caching system uses cookies to serve pages quickly. This is standard operation, not surveillance.
Access control information, which we treat differently
When we program access credentials for you, you give us a facility code and a card number range. That information can open your doors, so we handle it with more care than an email address.
We use it to program the cards you ordered and to help you order matching cards later. We do not share it, publish it, or use it for anything else, and we do not give it out to anyone claiming to be from your organization without knowing who we are talking to. If you would rather we did not keep it on file after an order, tell us and we will remove it.
What we use it for
Answering your question or preparing your quote. Fulfilling and shipping your order. Carrying out and recording a repair. Telling you about something that genuinely affects a product you bought from us, such as a discontinued ribbon or a driver problem. Meeting our own accounting and tax obligations.
That is the whole list. If we ever want to use your details for something outside it, we will ask first.
What we do not do
We do not sell, rent or trade your information to anyone.
We do not pass your details to advertisers or data brokers.
We do not send marketing email to people who only asked a question.
We do not keep calling or emailing after you have said no. One follow-up to a quote is reasonable. Six is harassment, and we do not do it.
We do not ask for information we have no use for. There is no reason for a card printer supplier to know your date of birth.
Who else sees anything
A small number of companies handle parts of the job and see only the part they need.
Shipping carriers get the name and address on the parcel. Our web host and email provider store the site and our mail in the ordinary course of running them. Google Analytics receives anonymous usage statistics as described above. Payment processors handle card details directly; we do not store full payment card numbers ourselves.
We may also disclose information if the law requires it, which in practice has meant nothing more exotic than ordinary tax records.
Buying through Amazon
Many of our products are listed on Amazon, and the buy links on this site take you there. Once you land on Amazon you are on their site under their privacy policy and their terms, not ours. They handle the payment and they hold the order details.
Those links carry a tracking tag so Amazon can tell it sent that visit from our site. That is standard for a seller linking to its own listings. It tells us traffic came from here; it does not tell us who you are.
Cookies
The site uses cookies for two things: keeping the site fast through our caching system, and the anonymous analytics described above. There are no advertising or tracking cookies from social networks on this site.
You can block or delete cookies in your browser settings. The site will still work, though some pages may load a little slower.
Other sites we link to
We link to manufacturer documentation, driver downloads and product listings on other sites. Once you follow one of those links you are on somebody else's site under their rules. We choose what we link to carefully, but we do not control those sites and this policy does not cover them.
How long we keep things
Enquiries that go nowhere get cleared out once they are plainly stale. Order and repair records we keep for as long as they are useful to you and to us, because being able to look up which ribbon fits the printer you bought in 2019 is genuinely useful. Accounting records we keep as long as the law requires.
What you can ask us to do
Ask us what we hold about you, and we will tell you. Ask us to correct something wrong, and we will fix it. Ask us to delete your details, and we will, apart from records we are required to keep for tax or warranty reasons. Ask us to stop contacting you, and we will stop.
There is no form and no process for this. Phone or email us and say what you want.
Security
The site runs over an encrypted connection, access to our systems is limited to the people who need it, and we do not store full payment card numbers. No system is perfect, and anyone who tells you otherwise is selling something, but we do not take shortcuts with information that can open a customer's building.
Children
This is a business-to-business site selling card printers and supplies. It is not aimed at children and we do not knowingly collect information from them. Schools and universities buy from us regularly, but our dealings are with the institution rather than with students.
Changes to this page
If we change how we handle information, we will update this page. If a change is significant we will say so plainly rather than quietly editing a line.
